v2.15.1October 23, 2026
Improved
- The session tracker has no "Fixed" or "Not scored yet" status — the status cards and the Review filter now show only Open, Still failing after the fix, Sent to provider, No issues and Cleared, plus All sessions. A session that was marked fixed, or whose fix was confirmed by a re-check, now reads No issues and is counted and filtered under it; History keeps saying what happened (for example "Marked resolved"). A session that is still being checked reads Checking in its row, stays out of the Open list, and shows under All sessions. Nothing was changed or removed on the sessions themselves, and a saved filter or link that used the old statuses lands on the status that replaces it.
v2.15.0October 22, 2026
New
- Re-check a session with today's rules — when the checks change, a session that was last checked under older rules is marked on the session tracker, and you can re-check it with one click, or re-check a whole filtered group of your organization's sessions (up to 150 per click) without uploading anything again. A session you already marked Cleared, Fixed or No issues stays where it is if it still passes. If it now fails, it goes back to Needs review, and History says why. A session that is Sent to provider also stays put until the provider's correction arrives.
- History now lists every change to a session — open History on a session to see each change, newest first, with who made it and when: review changes, notices sent, re-scores, a re-upload that replaced the document, a score set by hand, a flag for review, and notes. Before, it showed review changes only, and long histories were cut off.
- A friendly reminder closes every email to a provider — the "please graph your data before midnight" line now ends every notice email you send from the tracker, once, instead of appearing only on the data-date finding. The confirmation window shows it in the same place, so you see exactly what is sent.
Improved
- Sessions you sent to the provider stay on the main list — after you email a provider, the session stays on the tracker's default list, with "Emailed" and the date under its status, until the provider's fix is uploaded and the re-check settles it. The first card on the page now reads Open instead of "Still to review".
- Two session statuses have plainer names — Not fixed now reads Still failing after the fix (the provider sent a correction and the re-check still finds a problem), and Resolved now reads Fixed. The new names appear on the status cards, the review filter, each session's status, History, and the exported file. Your sessions keep the status they had.
- "Not checked" is explained, and the numbers add up — a parent training session with 16 checks passed, 2 to correct and 2 not checked now reads "16 of 18 checks passed · 2 to correct · 2 not checked" instead of "16/20". The 18 are the checks that could be judged; the 2 not checked sit beside them. Wherever you see it, Not checked means the note or time sheet had nothing to judge that check on, and it is not a failure. Each grey line under Every check now says what was missing, for example that the time sheet lists no location. (CentralReach)
- The provider portal says the same thing. Providers see the same count, the same one-sentence meaning, and the reason on each grey check.
- The session tracker export matches the screen. Checks total is now the number of checks that could be judged (18 in the example), and a new Checks not checked column sits right beside it. Sessions with nothing "not checked" export exactly as before.
Fixed
- 97156 next session date: only a blank line is flagged (CentralReach) — on a parent training (97156) note, the "next session" line is now flagged only when it is blank (or only a dash, punctuation or the dropdown's "Select one"). A date with or without a year,
TBD, "October", "next week", "1 week" andN/Aare all left alone. This replaces the 22 October wording, which still flagged any text that was not a date as "not a date". A session already checked keeps its old result, and now says Checked under older rules (with this change and the two before it listed) until you re-check it with one click; a 97156 session checked from now on is judged by the new rule. - Only organization admins can add or edit providers — the Add provider and Edit provider pages now open only for an organization admin. A provider's own sign-in, or a staff account that is not an admin, can no longer open them to change another provider or set a password. An admin also cannot set another admin's password from a provider's page. The provider list and stats page no longer show Add or Edit to people who cannot use them.
v2.14.1October 22, 2026
Improved
- The caregiver participation check on parent training notes now looks for enough detail, not a word count (CentralReach) — on a 97156 note, the "they showed participation by" line no longer fails just for being short. A brief answer that says what the caregiver did, such as "Parent responsive and practiced prompting", passes. A bare "Yes", "Participated", "Done" or "OK" still fails, because it does not say how they took part, and so do a blank line and "N/A", "none", "no", "TBD", a dash, "not applicable" and "to be decided" or "to be determined".
- "Did not participate" has to say what happened. An answer that only says the caregiver did not take part (did not participate, declined, absent, no show, not present, cancelled, refused) now fails with "The note says the caregiver did not take part but not what happened." Adding the reason or the plan, for example "Caregiver did not participate because she was at work; we will reschedule Friday", passes.
- Notes already checked keep their old result until they are re-scored.
- 97156 next session date: a month and day, or TBD, is fine (CentralReach) — on a parent training (97156) note, the "next session" line no longer needs a year.
10/5,10-5,Oct 5and a full date all pass, and so doesTBD(or "to be determined"). A line left blank,N/A, "none", "no" or a dash is flagged, because an audit reads an empty line as something that was forgotten. The finding now says "The next session date is blank" and asks for a date such as 10/5, or TBD if it is not scheduled yet. Sessions already scored keep their old result until they are re-scored.
v2.14.0October 20, 2026
New
- Link one provider to many sessions at once — on the session tracker, open More filters, choose Not linked under Provider link, choose Filter, search for a name, tick the sessions that belong to that person, and choose Link provider. Pick the provider from the list once and every ticked session is linked to them. Before anything changes, you see how many sessions will be linked, which names are printed on them, and a warning if a printed name does not look like the provider you picked or if saving it as an alias would take that alias away from someone else. Sessions that already have a provider are never moved. Nothing is emailed to anyone when you link.
- Save as alias for future auto-matching is ticked by default, as it is when you link one session, so the next upload with that spelling links on its own. It only ever saves a name that matches the provider you picked: a session that prints a different name is linked, but that name is never saved as an alias, so later notes from that other person do not land on the wrong provider. Untick the box to link without saving anything.
- Mixed names ask for your confirmation. When the sessions print more than one name, or a name that does not match the provider, tick "I checked: these sessions are all" that person before Link sessions turns on. If every name matches, there is nothing to tick.
- You can link up to 500 sessions at a time. They are saved in groups of 100, so a long list shows its progress.
Improved
- Not linked now shows cleared sessions too — on the session tracker, choosing Not linked under Provider link used to show "No sessions match your filters" when every unlinked session had already been cleared, because the board opens on the sessions still to review. While you have not picked a review filter yourself, Not linked now shows sessions in every review state, and a link ending in
provider_link=unlinkeddoes the same. A review filter you chose is kept, and the page says when it is hiding some unlinked sessions. - Search on the session tracker now finds a provider by the name printed on the note — typing "Jane", "Doe" or "Jane Doe" finds that person's sessions even when no provider is linked yet. Before, search matched only session ID, patient ID and the provider's email, so sessions with no linked provider could not be narrowed to one person.
v2.13.2October 19, 2026
Fixed
- Parent training answers are now read in full (CentralReach) — on a 97156 (parent training) note, an answer that began "The parent/caregiver…" was mistaken for part of the form rather than the answer the provider wrote, so the caregiver participation and follow-up assignments checks could fail on a note that described both at length. Both checks now read the whole paragraph the provider wrote. A blank answer, "NA", or a participation line too brief to describe anything still does not pass.
- A failed check no longer quotes our internal limits — when the goals-per-hour or participation check fails, the finding now says what is not met (for example, "Goals worked per hour not met") instead of quoting the exact number the limit is set to. The finding still shows what the note itself recorded and what to do about it. (CentralReach)
v2.13.1October 19, 2026
Fixed
- API sign-in now honours two-step sign-in — an account that uses two-step sign-in, or whose organization requires it, no longer gets in through the API sign-in with its password alone. It gets no session and is told to sign in at the portal, where it is asked for its code. The provider sign-in page that shows an API token works the same way. A wrong password gets the same answer as before, and five of them now lock the account, as on every other sign-in. Accounts without two-step sign-in, in organizations that do not require it, sign in exactly as before.
- The provider portal now asks for your two-step code — if you have turned on two-step sign-in, signing in to the provider portal now asks for your code after your password, just as the admin portal does, and the page you were opening is still where you land. If your organization requires two-step sign-in and you have not set it up, you set it up right there before you get in. Providers without two-step sign-in, in organizations that do not require it, sign in exactly as before.
- A provider whose account is switched off can no longer sign in to the provider portal — a deactivated provider could still sign in there and see their sessions. They are now told the account has been deactivated, as on every other sign-in, and are never sent a sign-in code.
- Switching a provider off also ends their access at once: a sign-in already waiting at the code screen goes no further and is sent nothing, and a provider already signed in is signed out on their next click.
- Recovery codes now work at the sign-in code screen — choosing "Use a recovery code" and typing one of your saved codes was refused as a wrong code. It now signs you in, and that code is used up.
